Write the brief
For the first discussion, describe future users, required spaces and priorities. Separate essentials from things that can evolve. A written brief lets you compare proposals on the same basis. The RIBA organises a project in stages, from defining the need to operating the building.
Gather site information
Prepare a file with the location, known dimensions, available documents, access and photographs. Clearly mark what remains unverified. This file does not establish feasibility by itself; it helps the team identify the studies and checks specific to the development.
Organise decisions
Use a simple meeting table: decision needed, missing information, owner and target date. Record budget assumptions rather than presenting them as confirmed prices. Afterwards, request a summary of the agreed scope and next steps. A concept image helps discuss volumes; it is neither a sales offer nor a delivery commitment.
